What is a management dashboard, and how do you build one?

A management dashboard gives a leadership team one view of the few numbers that show whether the business is on track. Done well, it replaces the monthly pile of spreadsheets with a single, trusted page. This guide explains what it is, how it relates to management reporting, which KPIs belong on it and how to build yours.

Definition

What a management dashboard is

A management dashboard is a visual summary of the key performance indicators (KPIs) a leadership team uses to run the business. It shows each figure against a target or a previous period, so it is obvious at a glance what is on track and what needs attention.

Modern dashboards connect directly to the systems where the data lives, such as accounting, CRM or ERP, and refresh automatically. Tools like Power BI, Tableau and Qlik also let you filter by period or area and drill into the detail behind any number.

Management reporting

Management dashboard vs management reporting

The two work together: the dashboard shows where to look, the report explains why.

KPIs

KPIs to include

A common starting point for an SME: one or two indicators per area, each compared with a target.

AreaExample KPIs
FinanceRevenue vs budget, gross margin, cash position
SalesPipeline value, win rate, average deal size
CustomersActive customers, retention, days sales outstanding
OperationsOn-time delivery, stock turnover
PeopleHeadcount, staff turnover, absence rate
How to build one

Build a management dashboard in five steps

The order matters: the tool comes last, not first.

  1. Step 1DecisionsWrite down the decisions the dashboard should support and who will use it.
  2. Step 2KPIsPick a handful of indicators, define how each is calculated and set a target.
  3. Step 3SourcesFind where each number comes from and check it is complete and reliable.
  4. Step 4DesignMost important figures top left, clear comparisons and nothing decorative.
  5. Step 5AutomateConnect the sources so it refreshes on its own, then review it with the users.
Common mistakes

Mistakes to avoid

  • Tracking everything you can measure instead of what drives decisions.
  • KPIs with no written definition, so each person calculates them differently.
  • Data copied in by hand and arriving late.
  • Charts with no comparison against a target or a previous period.

FAQ

Questions about management dashboards

How many KPIs should a management dashboard have?

There is no fixed number, but a leadership dashboard usually works best with five to ten indicators. If you need many more, it is often a sign that it should be split into area dashboards, or that some indicators do not support any decision.

Can I build a management dashboard in Excel?

Yes, and it can be a good start. The trouble comes when it has to be updated by hand every month, when the data grows or when several people edit it. Tools like Power BI connect to the sources and refresh automatically, which saves hours and avoids errors.

What is the difference between a KPI dashboard and a management dashboard?

A KPI dashboard is any dashboard built around key performance indicators, for any team or process. A management dashboard is a KPI dashboard designed specifically for the leadership team, covering the whole business rather than one area.

How much does it cost and how long does it take?

It depends on the scope. There are three fixed-price packages: an executive Power BI dashboard for €3,500 in 7 days, predictive modelling for €6,500 in 7 to 10 days, and a Sales Ops / CRM audit for €2,500 in 5 to 7 days. If none of them fits, we work it out on the free call.
